This Privacy Policy explains how Unit Memory ("Unit Memory," "we," "us," or "our") collects, uses, stores, and shares information when you visit unitmemory.com, use app.unitmemory.com, request a demo, create an account, or otherwise interact with our property maintenance history software.
Unit Memory is primarily a business-to-business tool for property, facility, and maintenance teams. If your company provides you access to Unit Memory, your company controls much of the work history and property information entered into the service.
Information We Collect
Account and contact information
We may collect names, email addresses, company names, roles, passwords in hashed form, time zones, company profile details, and communications you send to us.
Customer content
Users may enter property, building, unit, asset, vendor, warranty, work order, repair, inspection, timeline, addendum, note, photo, QR-code, and report/export information. This may include addresses, equipment details, model and serial numbers, repair descriptions, vendor contacts, photos, and other operational records.
Demo information
If you request a demo, we collect your email address, IP address, confirmation token data, and demo activity. Demo companies are designed to expire automatically. When requesting a demo, you may optionally check a box to receive product news, tips, and promotional emails from us; this is unchecked by default and separate from the confirmation email needed to activate the demo itself.
Technical information
We may collect IP address, browser type, device information, session identifiers, pages viewed, request logs, error logs, security logs, and similar information needed to operate and protect the service.
Voice, AI, and QR features
Voice-to-text uses browser speech features where available; Unit Memory does not intentionally upload or store raw audio for that feature. If you use AI suggestion features, the text you submit for suggestion may be sent to our AI provider to generate a proposed title or category. If you generate a QR code, the asset link may be sent server-side to a QR-code generation provider.
How We Use Information
- Provide, secure, maintain, and improve Unit Memory.
- Create accounts, authenticate users, manage sessions, and apply role-based permissions.
- Store and display property, unit, asset, vendor, photo, timeline, report, and audit-history records.
- Send demo confirmation emails, account notices, security notices, and support communications.
- Send product news, tips, and promotional emails, but only if you've opted in — see "Marketing Communications" below.
- Generate QR codes, AI suggestions, exports, reports, and other product features you request.
- Detect, prevent, and investigate fraud, abuse, security incidents, and unauthorized access.
- Comply with legal obligations and enforce our Terms of Service.
Marketing Communications
When requesting a demo, you may optionally check a box to opt in to product news, tips, and promotional emails. This is unchecked by default and is separate from the confirmation email required to activate a demo, and from account, security, and support notices tied to using the service, which are not promotional and cannot be opted out of while you have an active account. If you opt in to marketing emails, you can opt out at any time by using the unsubscribe link in those emails or by contacting support@unitmemory.com. We do not sell or share your email address with third parties for their own marketing purposes.
How We Share Information
We do not sell customer content. We may share information with:
- Your company and authorized users. Work history and account data are visible according to company roles and permissions.
- Service providers. Hosting, email delivery, AI suggestion, QR-code generation, security, backup, analytics, and similar vendors may process information for us.
- Legal and safety recipients. We may disclose information if required by law, subpoena, court order, regulator, or to protect rights, safety, security, or property.
- Business transfers. Information may be transferred in connection with a merger, acquisition, financing, reorganization, or sale of assets.
Customer Control, Retention, and Deletion
Customer content belongs to the customer account that entered it, subject to our Terms. Owners and admins can add, deactivate, and manage users and records through available product controls. Certain records may be preserved for audit, security, legal, backup, or paper-trail reasons, including deactivated users, audit logs, original timeline entries, and addendums.
We retain information for as long as reasonably needed to provide the service, comply with legal obligations, resolve disputes, enforce agreements, protect the service, and maintain backups. Demo companies are intended to expire automatically, but demo signup records may be retained to enforce demo limits and prevent abuse.
Cookies, Sessions, and PWA Storage
We use cookies and similar browser storage for login sessions, security, preferences, PWA functionality, offline fallback, and product behavior such as dismissing demo tips. Disabling cookies or browser storage may prevent parts of the service from working.
Security
We use administrative, technical, and organizational safeguards designed to protect information. No system is perfectly secure, and we cannot guarantee absolute security. You are responsible for using strong passwords, protecting your devices, limiting account access to authorized users, and promptly telling us about suspected unauthorized access.
Children
Unit Memory is not intended for children under 13 and is not directed to children. Do not use the service to knowingly collect personal information from children unless your organization has all required authority and consents.
U.S. State Privacy Rights
Depending on where you live and whether a privacy law applies to Unit Memory, you may have rights to request access, correction, deletion, portability, opt-out, or restriction of certain personal information. Because Unit Memory is primarily provided to companies, some requests may need to be directed to the company that controls your account. We will not discriminate against you for exercising applicable privacy rights.
International Use
Unit Memory is operated from the United States. If you access the service from outside the United States, you understand that information may be processed in the United States and other locations where our providers operate.
Changes to This Policy
We may update this Privacy Policy from time to time. The updated version will be posted on this page with a new effective date. Continued use of Unit Memory after an update means the updated policy applies to future use.
